Automating Follow-Up Scheduling in DayBack

Creating Templates for a Series of Related Appointments

In part one of this series, we explored how DayBack can help you manage a cancellation waitlist, allowing patients to move into earlier openings as your schedule becomes available. In this second post, we’ll look at how DayBack can also streamline follow-up appointment scheduling by automating complex sequences of visits using rules that live directly in your Salesforce objects.

Why Automate Follow-Up Scheduling?

In many healthcare and specialty practices, each procedure or consultation triggers an entire series of follow-up steps. For example:

  • A physical therapy consult might require a sequence of ten or more therapy sessions.
  • A radiation consult might be followed by a full course of treatments, imaging, lab work, and long-term follow-up care.

Managing these manually can be time-consuming and prone to errors. DayBack helps simplify the process by automatically recommending a follow-up schedule based on predefined templates and business rules that you configure in Salesforce.

Recommending the Right Follow-Up Plan

When a clinician opens an appointment that requires follow-up, DayBack can present an initial set of recommended appointments based on the appointment type.

For example, after a radiation consult, a doctor may want to schedule a standardized treatment course. By clicking “Add Follow-Ups”, DayBack loads the appropriate template and displays the recommended schedule.

Users can then:

  • Add or remove appointments
  • Specify a scheduling window
  • Switch to a different follow-up template, or
  • Save their adjustments as a new reusable schedule for future patients.

This lets each provider tailor follow-up care to individual needs while keeping the process consistent and efficient.

Scheduling Follow-Up Appointments

Once the user clicks “Create Follow-Ups,” DayBack automatically adds the entire set of follow-up appointments to the Unscheduled Appointments sidebar, which acts as your scheduling queue.

From here, DayBack provides helpful visual cues:

  • Blue appointments indicate visits that are eligible for scheduling within the calendar’s current date range.
  • Gray appointments fall outside the visible range.

As you move through the calendar, DayBack highlights eligible appointments and dims those that aren’t. You can filter the sidebar to show all events or only those within the current date range.

For fast navigation, clicking any appointment’s scheduling window will jump the calendar directly to that appointment’s eligible timeframe, which can help make bulk scheduling smooth and efficient.
